Account administrators can create and manage staff logins that allow staff members and teachers to manage student lists, assign tests and view reports.

Only account administrators have the ability to view, add and manage staff logins.
Invite staff members
You may invite staff members to set up their own usernames and passwords. This is recommended in most scenarios, as it is the quickest method and allows each staff member to choose their own username.
- Go to the Staff tab
- Click the Invite Staff button
- Enter the staff member's email address. You can include multiple email addresses in this field.
- Set the role and permissions for the staff member(s)
- Click the Send invites button
An error message will display if any email addresses are not valid.
If the process is successful, you will receive a message confirming the successful invitation of staff members. The invited staff members will receive an email with a link to set up their login details, which is valid for five days only.
If a staff member does not action their invitation email within five days, their status will remain 'Pending'. You can re-send the email invitation at any time by clicking the three dots and choosing Re-send invitation.
Create staff members
When adding a new staff member, you can also choose to set their username and initial password for them.
This method takes additional time, but is useful if you prefer to enforce uniform staff usernames, and/or if you do not wish for the staff members to immediately receive an invitation email.
- Go to the Staff tab
- Click the Create staff button
- Enter the staff member's email address
- Choose a username for the staff member
- Set a password for the staff member. Passwords need to be at least 13 characters long and need to meet these specifications.
- You can include multiple email addresses in this field.
- Set the role and permissions for the staff member(s)
- Click the Create staff button
An error message will display if any email addresses are not valid.
After the staff have been added, they can log in with the usernames and passwords you have set for them. However, they will not receive a system-generated invitation email until you click the three dots and choose Send invitation.
Add staff members in bulk
If you are creating logins for a large number of staff members with different roles and permissions, you can do this in bulk populating an Excel template and then importing the file.
- Go to the Staff tab
- Click the Add/edit in bulk button
- Choose the Create new staff tab if you wish to set each staff member's username and password yourself; otherwise, choose the Invite new staff tab, which will allow all invited staff to do this themselves
- Populate the template file with staff members’ details, being careful to follow the Excel template guidelines (which you can view by clicking Show template field instructions)
- Save your file in the *.xlsx format
- Return to the Add/edit in bulk menu and click Choose file
- Select your saved file
- Click Upload
If any errors are detected by the system, you will receive a message and a link to download an Excel file listing the relevant errors. Correct the errors in your file, save it, and then repeat steps 6–8.
